As an Office Administrator, you will be responsible for ensuring the day-to-day running of the office, assisting with administrative duties, managing communications, and providing support to staff and management. This role requires someone who is organised, efficient, and capable of handling a variety of tasks simultaneously in a fast-paced environment.

Key Responsibilities:

  • Provide general administrative support to teams and management, including document preparation, filing, and correspondence.
  • Manage office supplies and equipment, ensuring that all resources are stocked and in good working condition.
  • Assist in preparing reports, presentations, and meeting materials.
  • Coordinate and manage calendars, meetings, and appointments for staff and leadership.
  • Schedule meetings, arrange conference calls, and ensure all logistical details are taken care of.
  • Organise travel arrangements, including booking transportation and accommodations.
  • Answer phone calls, handle enquiries, and direct messages to the appropriate team members.
  • Manage incoming and outgoing mail, including sorting, distributing, and responding to communications.
  • Prepare and proofread emails, memos, and other correspondence.
  • Ensure the office environment is tidy, organised, and welcoming.
  • Maintain filing systems (physical and digital) and ensure all records are kept in an orderly and accessible manner.
  • Assist in setting up meetings and events, including arranging refreshments, seating, and any necessary equipment.
  • Help with HR tasks such as maintaining employee records, scheduling interviews, and supporting onboarding processes for new hires.
  • Ensure compliance with office safety regulations and keep the workplace clean and safe.
  • Help maintain and update health and safety procedures as required.

Requirements:

  • Previous experience in an accounts assistant or similar role is desirable.
  • A basic understanding of accounting principles and practices.
  • Familiarity with accounting software 
  • Strong attention to detail and the ability to work with large amounts of financial data.
  • Excellent organisational and time management skills.
  • Strong communication skills and the ability to collaborate effectively with other departments.
  • A proactive approach to problem-solving with the ability to work under pressure and meet deadlines.
  • A relevant qualification in accounting or finance (e.g., AAT) is a plus but not required.
